Generative AI is no longer a future consideration, it’s already inside your business. Most companies didn’t take time to evaluate the risks or give permissions. It arrived quietly, built into the software your teams already use every day: Slack gives AI-powered chat summaries. Zoom does automated meeting recaps. Microsoft 365 rewrites reports and analyzes data. Your employees are using these features. Many didn’t ask. And no one cleared it with IT.

That’s a lot of sensitive information exposed to services you might not have vetted. AI governance sets the ground rules, who can use what, for what purpose, and with which data. Traditional monitoring tools often fall short in detecting AI-related data risks

Communicate those policies clearly across all levels of the organization. Employees need guidance more than restrictions.

Stakeholders, customers, partners, regulators, pay attention to how you manage emerging technologies. When you show foresight and discipline, you build credibility. That becomes a competitive edge.

The regulatory environment is already shifting. The EU’s AI Act is now in motion, and other countries are developing their own frameworks. Waiting to act puts your company behind. Moving early puts you in control. And control, over data, process, and technology, is how you scale innovation sustainably.

A structured approach needs the best practices

AI governance works when it’s systematic. You don’t need overly complex frameworks. You need clear, repeatable actions that create visibility, reduce risk, and give business units the confidence to use AI effectively, without compromising compliance or security.

Start with the basics: inventory. Most companies underestimate how many AI tools are already in use. Log everything, standalone AI apps, embedded features in platforms like Zoom or Salesforce, browser extensions, and unofficial tools employees may be testing. Tag where each one touches data and who’s using it. Without this visibility, leadership can’t make informed decisions.

Next, define AI usage policies people can understand and follow. Stakeholders should know what’s allowed and what’s not, especially around handling sensitive data or choosing third-party tools. These policies should specify risk categories, approval steps, and usage boundaries. Don’t just frame them around restrictions, explain why the rules exist. The goal is to make responsibility easy to adopt.

From there, you need control. Monitor usage and restrict access based on actual need. Use built-in admin tools from your SaaS providers to enforce the principle of least privilege. Track which users or integrations request what level of access, especially where customer or proprietary data is involved. Build alerting into the process so your teams are notified if something abnormal occurs, large data transfers, unapproved API connections, or new AI tools appearing.

Because the landscape doesn’t stand still, implement a regular cadence of risk reviews. Update the inventory. Reassess tools after major product updates. Stay informed on new vulnerabilities, like prompt injection risks, and adapt controls to neutralize them. Some organizations benefit from forming AI governance committees with cross-functional input from IT, compliance, legal, and business units. That process helps scale oversight without slowing down operations.

Finally, involve the broader company. Don’t treat AI governance as just a security function. Bring in legal to interpret evolving regulation. Partner with business leaders to ensure that AI tools match operational goals. Loop in privacy stakeholders to ensure data is handled properly. When governance is treated as a shared mission, adoption improves, and so does discipline.
